Policies and Procedures
Introduction
The Media Center is located on the Court Level; various educational materials are located in this area. The function of the center is to acquire, organize and disseminate audiovisual materials that support the college curricula to maintain a well-rounded collection of a variety of AV materials and to assist the faculty and students in research.
Located in the Media Center, the Media Laboratory contains the collection of film loops, filmstrip, slides, multi-media kits, audiocassettes and other commercially produced instructional media. Faculty/staff member only may check out materials for classroom use. For students, media resources are to be used in-house only. (Materials must be requested at least three (3) days prior to the utilization date.)

Monday - Friday - 8:30am - 12:00noon and 1:00pm - 5:00pm
Saturday – Sunday - CLOSED
Facilities
The Literature Room is used for phonograph and audiotape (reel to reel, cartridge and cassette) machines. The room is available for faculty, staff, and student listening. Headphones are provided and must be used at all times.
The viewing room is for faculty, staff, and student use. The room is used for presentations and reviewing of productions.
Staff
The Media Specialist, under the supervision of the Director of Library Services, is responsible for obtaining free and rental materials for teachers upon request, consulting with individual classroom teachers, informing of available media resources, providing operators and equipment, keeping equipment and materials in repair, classifying and storing materials, training operators of audiovisual equipment, assisting curriculum committees on appropriate audiovisual materials, assisting instructors, providing delivery and pickup service for films, assisting presenters in seminars, workshops, etc. and demonstrating how to use audiovisual materials and equipment, helping classroom teachers and students with the production of simple teaching materials, producing audiovisual materials for the classroom, and directing audiovisual equipment. That person also selects and purchases new materials, with the help of faculty, staff, and students.

- Teaching library media skills to students, including knowledge of the scope and sequence of skills.

- Planning for the flexible use of facilities.
To Lecture/Make Media Presentations to Large Student Groups
- Speaks to students to identify objectives of presentation.
- Speaks to students to explain importance of objectives.
- Discusses with students to answer students’ questions.
- Translates evaluation to change presentation.
- Speaks to students in responses to student questions.
To Inform Teachers About Media
- Confers with teachers to inform of materials and equipment.
- Assesses teaching needs to suggest appropriate materials.
- Plans small groups to demonstrate audiovisual services.
To Teach Basic Audio/Visual Course Included in the Language Arts Course
- Describes media requirement to teach use of media in instruction.
- Describes group size contingencies to teach use of media in instruction.
- If the Media Center has ordered previously, the Media Specialist reminds them of their ordering history with the Educational Film Library and asks for a free preview. If a company refuses to bargain and requires a rental fee and the faculty member insists on having the film sent for preview, the faculty member’s department must agree to pay the preview fee, the return shipping cost, and to return the video/film within the specified time limit.
- The Media Specialist sends the invoice, which includes the shipping fee to the department. The Manager returns it to the company.
- Many companies prefer to apply the rental fee to the purchase cost of the video. The logistics for applying the rental fee to the purchase cost are too convoluted and difficulty to deal with in the Benedict College systems. Quite often when previewing a video, the faculty decides that the video is inappropriate and sends it back. In such a case there is no purchase price to apply the rental fee against. Therefore, the Media Center does not pay rental fees toward the purchase of a video.
Video/Film Distribution of Vendors
Whenever order requests are made for films from a company which has not been used previously (particularly when the film is expensive), the Media Specialist calls the company to learn about the company’s strengths, what kind of materials are kept in inventory and to cultivate a customer service relationship. He/she shops around to see if another company has the same item for less. It is beneficial to do as much research as possible when ordering from an untried company. The Internet is used to try to locate hard-to-find distributors.
When the Media Specialists find a review or catalog ad for a video/film requested previously by a faculty member that fits in with one or more disciplines, the Media Specialist will place an order. However, films are also bought that concentrate in just a specific area to meet the needs of a particular department.
It is best to ascertain whether a company accepts a purchase order or requires prepayment. Questions are asked, such as, will the company allow returns? Prepayment is avoided if at all by a particular department.
